The challenge

Indupay grew out of Inbak, our purchasing organization for the food industry. On behalf of our customers, we buy from suppliers of raw materials and packaging. Because we buy for a large number of customers, we can negotiate significant volume discounts for them.
Over the years, we realized that we could add even more value for our customers by helping them with the administrative side of procurement. That’s why we created Indupay.

To be able to realise this idea we needed software and a partner that understood this concept.

Indupay achieves three-way buying solution with WorkFlowWise FLEX


Indupay uses WorkFlowWise FLEX to manage a complex purchase-to-pay system linking
customers, suppliers and Indupay itself. In an exclusive interview, Christiaan Bik, chief operating officer of Indupay, reveals the digital advantage they achieve with FLEX.

How did Indupay arise?

Indupay grew out of Inbak, our purchasing organization for the food industry. On behalf of our customers, we buy from suppliers of raw materials and packaging. Because we buy for a large number of customers, we can negotiate significant volume discounts for them.

Over the years, we realized that we could add even more value for our customers by helping them with the administrative side of procurement. That’s why we created Indupay.

What does Indupay do exactly?

In Indupay, we do three things:

First, we digitize the flow of invoices our customers receive from the contracts we’ve negotiated, converting various invoice formats into standard UBL. The advantage is that they don’t have to deal with a mailbox full of invoices. In one overview, they can see all of them.

Secondly, we create a “theoretical invoice” based on the purchase order and receipt, and then check it against the procurement conditions of the contract. Think of volume prices, transportation and other costs. Our IDIL procurement system maintains all this data.

The WorkFlowWise FLEX solution comes in at this point: It automatically compares the purchase order from the customer’s ERP system with the contract terms in our procurement system. If the purchase order in the ERP system doesn’t match the contract terms, FLEX signals the mismatch. The customer can adjust the purchase order in line with the contract agreements before the real invoice arrives.

This shows customers what they will spend, which is useful for tracking progress against budget. When the actual invoice arrives, FLEX compares it with the theoretical invoice. If they match, the invoice proceeds to payment. An administrator takes action only if there’s a mismatch. This workflow reduces time, money and errors that can occur during the manual internal-control process.

The third thing we do is to advance payments on invoices to help with our customers’ cash flow. Customers decide how they want to manage working capital. We empower them to meet their objectives. We can make advance payments in confidence, knowing we only pay invoices that match both contracts and receipts for goods ordered and received.

This is the critical function of the WorkFlowWise solution for Indupay: It digitally compares the incoming invoice to the purchase order, receipt and contract conditions, ensuring that we pay only correct invoices.


How does the WorkFlowWise solution support this process?


WorkFlowWise CORE, the application platform itself, underlies the entire process: The digitization of the flow of invoices, the links to our IDIL procurement system and from there to the ERP or financial systems of our customers, the matching of orders and receipts. All thanks to the application platform. All the processes seamlessly glued together in one workflow.
